Security DrillDown Page for Dynamics GP (Roles, Tasks and Operations)

One or more roles are required to be assigned to users to provide access to the forms, reports, and tables needed to complete the specific tasks. If you have ever had trouble finding which roles have access to what information in Dynamics GP, a Security Page has been designed that acts as a database of all the Security Roles, the Security Tasks and the Security Operations.

GPWindow now has a Security page with all the Roles categorized into different Series/modules available in Dynamics GP. Clicking on any Role, lists down all the tasks related to the Role and clicking on Show Details link, brings out all the Security Operations for the selected Task.

The next time, if you want to give access to forms, reports, tables to users, follow the steps below and you have all the required information available to use:

1. Just navigate to the Security page through http://www.gpwindow.com/securityreport.php.

2. You will see different Roles categorized into different Series sections.

3. Select a Role ID and all the related Tasks appear.

For example – You can see all the tasks in the ACCOUNTING MANAGER ROLE at http://www.gpwindow.com/securityroles.php?RoleID=ACCOUNTING%20MANAGER*

Once you are there you can drill down to see the operations.

4. To view the operations associated with a Task, just click on Show Details and you have a list of all the Security Operations organized into Product (Microsoft Dynamics GP, SmartList etc.), Type (Windows, Reports, Files etc.), Series(Company, Financial, Sales, Purchasing etc.)

Q: Anyone could help me on setting up the special prices. We give a special price for some of the customer on some of the item to override the price level they belong to.

A: You need Omni Price from Rockton Software Otherwise; you would need to set up special price levels for each customer that gets a special price.

Q: We allow our customers’ term discounts on the AR Invoices that we are entering into SOP. The invoices have many items on them. However, the customers only get a discount on certain items and not all of them. Is there a way to set an item so that it does or doesn’t not factor into the Discount Terms calculation (GP 10)? It is a percent Discount. Also can there be multiple % discounts based on the payment? <5 days 5%, <10 days 4%
A: There is nothing in GP to handle this scenario. Nor would this be a trivial customization. The pricing (discount on some items but not others) might be possible with something like Extended Pricing in GP (probably not) or Omni Price from Rockton Software (probably).

Q: I’ve got a situation in SOP entry where we have to enter Markdown % for each line item and the decimal currency is BHD, 3 decimals. If the Unit Price is BD1.000, markdown is 14.85%, the markdown price is calculated as BD 0.149 rounding off to 3 decimals. However actual markdown should be BD 0.1485. This small difference does matter alot when large quantities involve. Say if we multiply a quantity of 1000000 with 0.1485, the markdown price would be BD148500 whereas with 0.149, the same would be BD 149000 resulting in BD 500 difference which is huge. Can Anyone has any solution on how to take the Markdown price without rounding off or any workaround?
A: I am guessing you actually want to show the markdown? Not simply change the price depending on who the customer is? If so, I don’t think even extended pricing can do that, but maybe, I am not as familiar with all the options in there as I am in standard pricing….I would check that first. But if not, I am fairly certain that Omni Price from Rockton can do this.

Q: The client is looking to extend the functionality of Bank Recon to record the adjustments without voiding the original receipts so that they can proceed with Bank recon.

A: One workaround I found is to use Nolan Advanced Bank Reconciliation where it gives the flexibility to edit the numbers in Recon screen if we choose the same in Set up options.

Q: How do I create 1099′s? How do I create a file to be sent to the IRS for 1099′s? I would start by reading the Payables manual. It has a section on creating 1099s.

Q: Hello all we are here in Wisconsin and there appear to be changes to the way they accept the format of the file we used to produce. We used to be able to just send the default file structure that came out of Great Plains and send that in. Now that format no longer applies and the table that hold the data for the SUTA report is a temp table. I was wondering if anyone knows the tables I need in order for me to generate the file myself. Or maybe even and easier way around this issue. This quarter I told them just to take the printed report and enter it into excel with the proper format. For next quarter I would like something more automated. This is under Reports > Payroll > Period End > Suta Summary.

A: The "easiest" solution may be to purchase Greenshades or another product that has the SUTA filing capabilities. Alternatively, if you have the format you need to use, a custom report is probably the best bet.

Q: We will be required to download our SUTA report 1st quarter 2008 online. The social security number cannot have hyphens; the employee name has to be separated into last name, first name, middle name format in order for the website to take the report properly. If report isn’t changed on the system, you either have to change it manually before you import the file or will have to manually input each employee name, social security number & wages. You are required to report online if you have more than 99 employees. We are using version 9.

A: I think Greenshades (www.greenshades.com) would give you what you want. Otherwise, you’ll need to spend some money creating a custom report.

Q: I would like to see more reports available such as overtime reports, new hire reports, federal tax deposit reports which shows the amount of fica and fed withheld per check date. There is a long list of reports that would be beneficial to have.
A: I don’t think you’re going to see them in GP. Greenshades has new hire reporting. The data is in GP, of course, so a report could be created. If you are using HR, I believe it has a new hire report. I can’t get into GP right now; otherwise, I’d tell you for sure. Because GP does not track tax deposits, you’re not going to be able to get a report for them. It would be great if tax deposits were tracked.

Mekorma MICR uses a laser printer and black magnetic toner to enable check printing on blank or preprinted stock. It has option to Configure Signatures, Passwords and Thresholds amount for the checks.

A: Assuming you want to print the MICR line as well as all the other text, you must use a third-party product. Mekorma’s MICR check product is the most widely-used.

A: The Mekorma MICR product is rock solid. Beyond a certain size (# of checks, # of bank accounts, # of companies) using blank check stock simply makes the most sense.

Q: We have a blank check stock that we use to print our checks in GP. We need to create a custom format in GP to print check so that they match our current format (one I created in Crystal Report). I have made a copy of the "Stub Top/Bottom – Text" check in Report Writer, but it does not show up as an option in our Check Format field. Can someone tell me how I can get this new check format listed? I have searched the company db for the name of this check format and the others and I cannot find a table that lists them.

A: Mekorma is the de-facto standard on blank check stock printing. I also give them three thumbs up, they are very good, very nice to work with and the product is seamless.

Q: We have the Mekorma 3rd party software but currently print checks on preprinted forms. We want to move to blank stock but our check supplier tells us that there are many issues (i.e. magnetic toner has shelf life, printers may print smudges on the MICR line, etc. etc.) that may cause the checks to fail clearing at the bank without warning.

A: His issues are really non-issues. I have multiple clients using Mekorma MICR for check printing and have never heard any of these kind of issues from any of them.

Q: New to dynamics. Wanting to know if how to edit check layout or if it is possible to do? We recently changed check format. Now using blank 3 part instead of a pre-printed one, i.e., account number, company name etc. wondering how to add these fields on check layout so it would print.
A: You’re saying you want to print on completely blank check stock? Without anything printed on it when you buy it? For that you need to buy an add-on software package like MICR checks printing from Mekorma:

Q: I am looking for a list of laser printers that can support check printing by Dynamics GP.
A: Go with an HP LaserJet. You can’t go wrong with that printer and it does work very well with Mekorma if you’re going that route.

A: Now, if you are talking wanting to print MICR (magnetic ink character recognition) checks, you’ll need a product like Mekorma to do so. Be aware, however, that in most cases, magnetic toner is not actually required anymore because the character recognition software used by many banks is advanced enough to read standard toner characters. I have many clients who use Mekorma to print their checks and use plain toner in their printers with no issues.

Q: There are times when AP or Payroll checks are sent to the printer, the Printer jams or for some reason GP stops printing. I am trying to find the best way to handle this. For example, if I am sending 200 checks in my check run and say they start
at check number 1 and the printer jams on check number 50. In this case if try to reprint checks from 51 to 200 – GP voids checks numbers 51 to 200 and requires that the next check number should be 201. This means I have to void/trash 150 perfectly good checks. Is there any way to reprint them without the GP "voiding" the checks.
A: Yes, don’t use pre-printed check stocks! We are in the 21st century, have your client order blank check stocks then you can use a product like Mekorma’s MICR to generate magnetically encoded checks.

Q: There should be built into the check disbursement function(s) certain internal controls. Example, allowing for restrictions – authorization levels as it relates to dollar amounts.

A: I understand the desire to use one publisher but I think you are fighting a battle everytime you do that. The third party products, like Mekorma’s MICR application, is so much more powerful than what GP offers.

Setting up a Security Task/Role for a GP Window or Report

Dynamics GP 10 and GP 2010 does not have an inbuilt role/task for a few windows and reports.

This article explains setting up of a role/task for such modules. If you know the Product, Type and Series associated with the Window, you can follow the steps below to setup a security task.

The example below explains how you can setup a new security task for giving access to Safe Pay Windows

Set up an Security Task for Safe Pay

Create a new task and assign it a suitable name.

Microsoft Dynamics GP menu >> Tools >> Setup >> System >> Security Tasks

Select the appropriate Product, Type and Series in this Window.

Select Product as Safe Pay, Type as Windows [or Reports/Files/Custom Reports] and Series as 3^rd party.

Select the required Operations for the created task.

Assign the new task to a role or create a new role from – Microsoft Dynamics GP menu >> Tools >> Setup >> System >> Security Roles.

Assign this role to the user who needs Safe Pay access.

Safe Pay Windows will now be available for the relevant user.

There was recently a question in the GP Community forums where the user wanted a way to stop cash receipts for a customer on hold because of some legal requirements. MVP Leslie Vail pointed out that she had used a VBA customization to handle this. As another alternative, you can do this very easily using the Trigger feature of Support Debugging tool.

Using the Support Debugging Tool we can easily display a warning message if user selects the customer that has been put on hold while entering the Cash Receipt. This can be achieved by defining Dexterity Triggers in scripting section of the Support Debugging Tool Setup window as explained below.

Note – The emphasis here is to give an example of the trigger feature in SDT, more than anything else.

For instance, here is a Customer that has been put on Hold.

While entering the Cash Receipts if a user tries to select the Customer ID for the Customer on Hold, a warning message is displayed.

The Dexterity script also disables the Amount Text field on the Cash Receipts Entry window.

The code

The support debugging tool makes writing this code very easy.

IT-

Generates the basic code for in and out parameters

You can simple download this code and test this example. The following settings file contains the code shown below. Rename the extension from txt to xml before importing. Download the settings file that contains the code here.

Select Configuration Export/Import from options menu on Support Debugging Tool window.

Options >> Configuration Export/Import

Click on the Import button to import the Script from the location specified as below.

Click OK on the Import Settings File window that contains the File ID defined for the Trigger to be imported.

Following screen shows the imported Trigger to prohibit the user from receiving cash from the Customers on Hold.

Click on the Automatic Debugger Mode link to open the Automatic Debugger Status window that contains the currently registered Triggers.
