Speedy Speedy Payroll Entry

I have been in the midst of a payroll implementation, and led a training yesterday that got me to thinking about payroll quick entry tips. So here are some of my favorite ways to speed up the entry of payroll transactions.
#1. Payroll Mass Transaction Entry (TransactionsPayrollMass Entry)
I think this has to be one of the most underutilized windows in Dynamics GP. Enter or select a Batch ID to be used for the transactions. Then select a pay code, deduction, or benefit and enter a date range and range of employees by employee ID, class, department or position . You can enter an amount if applicable, or leave it set to zero and you can edit them individually in the standard payroll transaction entry window. You can then preview the transactions to be created (the system will only create transactions for employees in the range who are already assigned to the selected code) and delete the transactions that should not be created. The Ever Expanding Payroll System

In the past couple months, I have fielded requests from a variety of clients for add-on modules for Payroll. The base payroll module in Dynamics GP has some great functionality; but as companies look for greater efficiencies and ways to streamline operations, they start to look for ways to expand the functionality of the system to better meet their needs. What was once a manual process may need to become an automatic process. What was once handled through printing, folding, and sending may now need to be sent through email or delivered through a portal.
So, I thought I would share some of the options I have put out there to help with the processing of payroll. This is by no means a complete list, so please share additional options in the comments and I will update the blog entry to include them :)

If you are using Dynamics GP's payroll module it's important that you update your payroll tax tables on a regular basis. This is normally a download from Microsoft and it's pretty easy to do. It's part of the year end checklist but people don't always pay attention and updates happen more frequently than annually.

How's that for a tongue twister? When working on small-scale ( less then 250 employees) payroll implementations, manual entry is not necessarily a deal-breaker. And in some cases, it can be a good thing in terms of cleaning up and reviewing data. However, when working on larger implementations including one I am finishing up with over 1500 employees between three companies, manually entry is not possibly in many cases.
So, okay, fine. We use integration manager to import a lot of data including employee maintenance info, deductions, benefits, and pay codes. But what about direct deposit information? This is critical and subject to entry mistakes, so even if keying is possible...I don't know that I want to risk an incorrect account number or routing number. So, I use table import.
DISCLAIMER :) Always thoroughly test table imports in a test environment first, and also always make a backup prior to performing a table import.
Generally, I am not a fan of table imports because they can be prone to issues if you aren't completely confident of the table and field requirements. But this is one I have done repeatedly and with great success. Thousands of records can be…

In recent versions, the ability of Dynamics GP to handle the most common 401(k) match scenarios has improved tremendously. But there are several pieces involved, so I thought it might be helpful to list them out here.

Bi-Weekly Payroll vs. Monthly Deductions

Delayed in Tampa, I thought I would take the opportunity to deliver on my promise to write about the benefits of employee classes after my earlier post regarding item classes. Normally, I will ask a client if they categorize their employees for reporting or if they pay their employees in specific groups, as the answer to both of these questions can help inform the set up of employee classes in payroll. Payroll has a lot of reporting capability by class, including period end reports (ReportsPayrollPeriod End). But you can also process a payroll by employee classes, by restricting the build process to a specific class (TransactionsPayrollBuild Checks).
Now, just like other classes you can provide a variety of defaults like department, position, and location, but a few of the defaults are of particular importance in my experience.

Dynamics GP Payroll Tax Update Round 9

I recently helped a client load the Payroll Tax Round 9 Update – both the tax table update and the tax code update. As indicated the Round 9 documentation, there are only a couple reasons why you would need to do the program update, one of which is if the Round 4 tax code update was not done. The date of the last code update, as well as last tax table update, are shown on the Payroll Tax Update window. If the Round 4 code update was loaded, the last code update date will be 2/26/2009. If the Round 6 code update was loaded (necessary for Louisiana & Missouri employees), the last code update should be 6/22/2009. When I first checked this client’s Payroll Tax Setup window, their last code update was a 2008 date so I determined they needed to load the code update as…
